OKI MB472, MB492 and MB562: ADF Does Not Feed Documents, Feeds Multiple Sheets, or Shows “Document Jam”

If the automatic document feeder on an OKI MB472, MB492 or MB562 does not pick up an original, stops it inside, pulls in several sheets at once, or displays Document Jam, first test the ADF by making a normal copy directly from the MFP control panel. This check helps you immediately determine whether the problem is in the document feeding mechanism or in the scanning program on the computer.

ADF stands for Automatic Document Feeder. It is located above the scanner glass and is designed to feed individual sheets automatically when copying, scanning, and sending faxes.

First separate a mechanical problem from a software problem

If the MFP does not pick up the document when copying directly from the control panel, reinstalling the Windows driver will not help. Check the original, guides, cover, paper path, and ADF rollers. If copying through the ADF works but the scanning program uses only the platen glass, the mechanism is working correctly: change the document source in the program on the computer.

Models covered by this guide

The main troubleshooting and maintenance procedure applies to the following monochrome MFPs:

  • OKI MB472dn and MB472dnw;
  • OKI MB492dn;
  • OKI MB562dnw;
  • OKI ES4172LP MFP and ES4192 MFP;
  • OKI ES5162 MFP and ES5162LP MFP.

Depending on the model, the shape of the cover and the position of the internal guides may differ slightly. Open only the covers and movable parts intended for removing a jammed document. Do not remove the ADF housing or disassemble its drive mechanism.

Determine the cause from the ADF behavior

Step 1. Test the ADF by copying one sheet

Where the actions are performed: on the MFP control panel. The computer and software installed in Windows are not used for this check.

  1. Remove all documents from the ADF input and output trays.
  2. Make sure there is nothing on the platen glass.
  3. Turn on the MFP and wait until it is ready.
  4. Take one new, flat, dry A4 sheet with a weight of approximately 80 g/m².
  5. Place it in the ADF with the text side facing up.
  6. If the sheet is in portrait orientation, its left edge should enter the ADF first. For landscape orientation, feed the top edge first.
  7. Move the side guides so that they fit exactly against the edges of the sheet. They must not bend or pinch the document.
  8. On the MFP control panel, select COPY.
  9. Start a normal single-sided black-and-white copy.
  10. Check whether the ADF picks up the document and whether the original exits completely.

How to evaluate the result

  • The sheet is not picked up, jams, or feeds at an angle. The problem is with the original or the ADF mechanism. Continue by checking the documents, paper path, and rollers.
  • The sheet feeds normally. The feeding mechanism and its main sensors are working. If scanning from the computer still uses the platen glass, change the source in the program.
  • The document feeds, but a vertical line appears on the copy. The feeding mechanism works. The line is usually caused by contamination on the narrow ADF scanning glass and is a scanning quality problem rather than a paper pickup problem.

Step 2. Check whether the original is suitable for the ADF

Where the actions are performed: before loading documents into the automatic document feeder.

Do not load the following into the ADF:

  • torn sheets, documents with holes, or heavily worn edges;
  • creased, folded, curled, or severely bent originals;
  • damp sheets and documents with wet ink, stamps, or correction fluid;
  • sheets stuck together because of static electricity or moisture;
  • photographs, glossy paper, or coated paper;
  • tracing paper, film, fabric, or other non-standard materials;
  • originals with staples, paper clips, adhesive tape, labels, or sticky notes;
  • receipts, newspaper clippings, or irregularly shaped documents.

Scan fragile and non-standard originals from the platen glass

Even if a thin receipt or damaged document can be inserted into the ADF, the rollers may crease or tear it. Place such an original on the platen glass and do not press it down with heavy objects.

Step 3. Prepare and load the stack correctly

Where the actions are performed: in the ADF input tray.

  1. Remove staples, paper clips, labels, and sticky notes.
  2. Make sure all sheets are the same size and have approximately the same weight.
  3. Lightly fan the edges of the stack to separate the sheets.
  4. Align the bottom and side edges on a flat surface. Do not align the stack by striking it against the ADF cover.
  5. Make sure the leading edges of the sheets are not bent.
  6. Place the documents with the text side facing up.
  7. Do not exceed the maximum loading mark. If jams continue, first test with 2–5 sheets.
  8. Move the side guides against the stack. There should not be a large gap between the guides and the paper, but the sheets must move freely.
  9. Do not hold or push the documents by hand while they are feeding.

If new office paper feeds normally but the original documents continue to jam or feed together, the ADF may not be faulty. Scan the problematic originals from the platen glass.

Step 4. Remove a document left in the ADF during startup

Where the actions are performed: on the MFP control panel and in the ADF input tray.

If the device is turned on with a document already placed in the automatic document feeder, a jam message may appear on the control panel. This is an intended response of the device and does not always indicate a faulty roller or sensor.

  1. Remove all documents from the ADF input and output trays.
  2. Wait a few seconds and check whether the message disappears.
  3. If a job is displayed on the control panel, cancel it using STOP or CANCEL.
  4. If the message remains, open the upper ADF cover and check for a scrap of paper inside.
  5. Close the cover until it locks completely.
  6. If the error does not clear, turn off the MFP normally and turn it on again with the ADF empty.
  7. Wait until the machine is ready, and only then insert one test sheet.

Step 5. Safely remove a jammed document

Where the actions are performed: under the user-accessible ADF cover. Windows and driver settings are not changed.

  1. Stop copying, scanning, or fax transmission from the MFP control panel.
  2. Remove from the input tray all sheets that have not yet been picked up.
  3. Open the upper ADF cover.
  4. If the document is visible in the duplex path, carefully pull it upward.
  5. If the leading edge of the sheet is visible directly under the ADF cover, hold it with both hands and slowly pull it out without jerking.
  6. If the document is under the internal guide, lift the guide by the designated part and release the sheet.
  7. If the edge of the document is visible under the input tray, carefully lift the tray and remove the sheet.
  8. Inspect the entire accessible paper path under good lighting. Check the corners, the area under the guide, and the area around the roller.
  9. Remove loose scraps of paper, labels, and pieces of sticky notes.
  10. Return the guide and input tray to their original positions.
  11. Close the ADF cover until it locks into place.
  12. Cancel the stopped job on the control panel and make a test copy using one new sheet.

Do not pull the document out by force

Do not use a knife, screwdriver, needle, metal tweezers, or other sharp objects. Do not press the sensor flags or turn the gears. If the document cannot be released through the designated covers without significant force, service is required.

Step 6. Clean the ADF roller and separation pad

Where the actions are performed: inside the open user-accessible cover of the automatic document feeder.

Paper dust and a smooth coating reduce the roller’s grip on the document. As a result, the sheet may not be picked up or may stop at the beginning of the paper path. Contamination of the rubber separation pad can cause several pages to feed at the same time.

What you will need

  • a soft, clean, lint-free cloth;
  • a small amount of clean water;
  • several new sheets of plain office paper for testing.

Cleaning procedure

  1. Finish all copying, scanning, and fax transmission jobs.
  2. Turn off the MFP normally and disconnect the power cable.
  3. Remove all documents from the ADF input and output trays.
  4. Open the upper ADF cover.
  5. Lightly dampen a lint-free cloth with water and wring it out thoroughly. No liquid should drip from it.
  6. Wipe the feed roller, rotating it by hand to clean the entire circumference.
  7. Wipe the internal guide, rubber pad, and rubber sheet.
  8. Do not stretch, remove, or detach the rubber parts.
  9. Make sure no lint or pieces of cloth remain inside after cleaning.
  10. Wait until all surfaces are completely dry.
  11. Close the ADF cover, reconnect the power, and turn on the MFP.
  12. Test the feeding of one new sheet, then a small stack of 3–5 sheets.

If the roller is heavily soiled, it may be lightly wiped with a cloth dampened with a weak solution of neutral detergent and wrung out thoroughly. Afterward, be sure to wipe the surface again with a cloth lightly dampened only with water.

What not to use for cleaning the ADF

Do not spray liquid directly onto the mechanism. Do not use alcohol, benzine, thinner, window cleaner, oil, silicone lubricant, an abrasive sponge, or wet household wipes. These products may damage the plastic, alter the rubber surface, or leave a slippery coating.

Step 7. If the rollers rotate but the document is not picked up

Where the actions are performed: first on the MFP control panel, then at the ADF entrance.

  1. After cleaning, take one new A4 sheet weighing approximately 80 g/m².
  2. Place it with the text side facing up and correctly adjust the guides.
  3. Start normal copying from the control panel.
  4. Listen to determine whether the ADF drive starts operating.
  5. If the roller rotates but slips against the sheet, check the cleanliness of its entire surface again and inspect the leading edge of the document.
  6. If the roller does not rotate, make sure the cover is fully closed and there is no cover-open or jam message on the control panel.
  7. Do not push the sheet inside by hand. This can cause skewing and damage the sensor.

If a new sheet is still not picked up after correct loading and cleaning, the roller surface may be worn, or there may be a fault in the clutch, motor, or document sensor. This problem cannot be corrected through Windows settings.

Step 8. If the ADF feeds multiple sheets or skews the document

Where the actions are performed: in the input tray and under the ADF cover.

  1. For testing, take 3–5 new, dry sheets of the same size and weight.
  2. Fan their edges and align the stack on a table.
  3. Make sure the sheets do not have bent corners or marks from previous staples.
  4. Load the stack evenly and move the guides against its edges without excessive pressure.
  5. Copy all pages.
  6. If two sheets are fed at the same time again, clean the roller, rubber pad, and rubber sheet once more.
  7. If the document consistently moves to one side, clean the full width and circumference of the roller rather than only the visible center section.
  8. Repeat the test with one sheet and then with a small stack.

If new identical sheets continue to feed two at a time after cleaning, the separation pad or roller is probably worn. If the document always skews to one side with the guides correctly positioned, uneven roller wear or damage to the guide may be the cause.

Step 9. If “ADF Cover Open” or a jam is displayed when there is no document

Where the actions are performed: on the MFP control panel and under the ADF cover.

  1. Remove all documents from the automatic document feeder.
  2. Open the upper ADF cover.
  3. Make sure the internal guide and input tray are fully returned to their operating positions.
  4. Inspect the paper path under good lighting and remove any scraps of paper you find.
  5. Close the cover evenly until it locks. Do not slam it shut.
  6. Press STOP, CANCEL, or the return button on the control panel if it is offered on the screen.
  7. If the message remains, turn off the device normally and turn it on again with the ADF empty.

Do not reset the MFP settings or reinstall the driver because of a message displayed directly on the device control panel. These actions will not repair the cover latch, sensor, or ADF drive.

Step 10. If the ADF copies but the scanning program uses only the platen glass

Where the actions are performed: in the scanning program on the computer. The MFP mechanism and control panel are not configured in this case.

Successful copying through the ADF confirms that the automatic document feeder is physically working. The program may have Flatbed, meaning the platen glass, selected as the source.

  1. Open the program from which you start scanning.
  2. Select the required OKI MFP if several scanners are installed in Windows.
  3. Open the job settings or advanced settings.
  4. Find the Source field and select ADF.
  5. Depending on the program, the corresponding items may be called Source, Scan Source, ADF, Feeder, or Document Feeder.
  6. For single-sided originals, select simplex scanning. For two-sided documents, select duplex scanning if it is supported by the selected source and paper size.
  7. Load one sheet into the ADF and perform a test scan.

If the program does not offer the automatic document feeder but copying through it works, the application you are using may not support all features of the scanner driver. Test the ADF in ActKey or another program with TWAIN support. Only in this case should you check the installed scanner driver; the PCL, PS, or XPS print driver does not control the ADF during scanning.

When ADF repair is required

Stop troubleshooting the device yourself and contact a service center if at least one of the following symptoms occurs:

  • the jam message remains after removing the documents, checking the paper path, and turning on the MFP with the ADF empty;
  • the cover is closed, but the device continuously reports that it is open;
  • the rollers do not rotate even though the motor can be heard inside;
  • cracking or gear clicking sounds are heard during feeding;
  • the document is trapped in an inaccessible area and cannot be released through the user-accessible covers without force;
  • new sheets continue to feed several at a time after cleaning the roller and separation pad;
  • the document constantly skews even with correctly positioned guides and a clean roller;
  • cracks, peeling, deformation, or smooth shiny areas are visible on the rubber parts.

Possible causes include wear of the roller and separation pad, or a fault in the document sensor, cover latch, clutch, motor, or ADF drive. Do not enter the hidden service menu or disable jam detection: doing so may damage the original and the mechanism.
