HP DeskJet 2800 Shows “Offline” in Windows 10 and Windows 11: What to Do

This guide will help if an HP DeskJet 2800 MFP is connected to the computer, but Windows shows the status “Offline”, or documents remain in the print queue and do not print.

This article applies to the following models: HP DeskJet 2820, HP DeskJet 2821, HP DeskJet 2822, HP DeskJet 2823, HP DeskJet 2828, HP DeskJet 2829, HP DeskJet 2820e, HP DeskJet 2821e, HP DeskJet 2822e, HP DeskJet 2823e, HP DeskJet 2842e, HP DeskJet 2852e, HP DeskJet 2855e, HP DeskJet Ink Advantage 2874, HP DeskJet Ink Advantage 2875, HP DeskJet Ink Advantage 2876, HP DeskJet Ink Advantage 2877, HP DeskJet Ink Advantage 2878, and HP DeskJet Ink Advantage 2879.

In most cases, the “Offline” message does not mean that the printer is broken. Usually, Windows cannot communicate with the printer because of Wi-Fi, an old connection, an incorrect port, a stuck print queue, or a damaged driver installation.

What “Printer Offline” Means

The “Offline” message means that the computer cannot send a print job to the printer. There can be different reasons:

• the printer is turned off or is in sleep mode;
• the printer is connected to a different Wi-Fi network;
• the computer and printer are on different networks;
• the router, Wi-Fi password, or network name has changed;
• Windows is using an old copy of the printer;
• Use Printer Offline mode is enabled;
• the print queue is stuck;
• the driver is installed incorrectly;
• HP app, HP Smart, or HP Easy Start cannot find the device.

Method 1. Check the Printer Power and Status

Start with simple steps. They often help without reinstalling the driver.

1. Make sure the printer is turned on.
2. Check that the Power button is lit.
3. If the printer is in sleep mode, press the Power button or any button on the control panel.
4. Check whether there are any errors on the display, such as E0, E1, E3, E4, E5, or E6.
5. If there is an error, fix it first. Until the error is fixed, the printer may not print.
6. Turn off the printer using the Power button.
7. Disconnect the power cord from the printer and the power outlet for 30 seconds.
8. Connect the power cord again.
9. Turn on the printer and wait 1–2 minutes.

After that, try printing the document again.

Method 2. Restart the Computer and Router

If the printer is connected via Wi-Fi, the problem may be with the router or the computer’s network connection, not the printer.

1. Turn off the printer.
2. Restart the computer.
3. Disconnect the router from power for 30 seconds.
4. Connect the router again.
5. Wait until Wi-Fi is fully working.
6. Turn on the printer.
7. Wait 1–2 minutes.
8. Try printing the document.

If the printer becomes available again after restarting, you do not need to reinstall the driver.

Method 3. Check Whether the Printer Is Connected to Wi-Fi

The HP DeskJet 2800 has a blue wireless light. You can use it to understand the Wi-Fi status.

• The blue Wi-Fi light is solid — the printer is connected to a wireless network.
• The blue Wi-Fi light is blinking — the printer is not connected to the network or is in setup mode.
• The blue Wi-Fi light is off — the wireless connection is disabled or not configured.

If the Wi-Fi light is blinking or off, Windows may show the printer as “Offline”.

In this case, you need to connect the printer to Wi-Fi again. Before connecting, remember: HP DeskJet 2800 supports Wi-Fi only on the 2.4 GHz band. This printer cannot connect to a 5 GHz network.

Method 4. Make Sure the Computer and Printer Are on the Same Network

The printer and computer must be connected to the same network. If the computer is connected to one network and the printer to another, Windows may show the printer as unavailable.

Check the following:

1. On the computer, click the Wi-Fi icon in the lower-right corner of the screen.
2. Check the name of the network the computer is connected to.
3. Make sure it is your home network, not a guest network.
4. If the router has separate 2.4 GHz and 5 GHz networks, connect the computer to the same 2.4 GHz network as the printer.
5. Do not use a guest Wi-Fi network. Devices on a guest network often cannot see each other.

If you are not sure which network the printer is connected to, print a network information page.

To do this, press the Information button or the button with the i symbol on the printer control panel. On the printed page, find the network name and the printer’s IP address.

Method 5. Turn Off VPN

VPN may prevent Windows, HP Easy Start, HP app, or HP Smart from finding the printer on the local network.

1. Turn off VPN on the computer.
2. Close HP app, HP Smart, or HP Easy Start.
3. Open the program again.
4. Search for the printer again.
5. Try printing the document.

After setup or printing is complete, you can turn VPN back on. If the printer becomes unavailable again after VPN is turned on, the VPN is blocking access to the local network. In the VPN settings, you need to allow access to local network devices.

Method 6. Turn Off “Use Printer Offline” Mode

Windows has a mode that intentionally puts the printer into an offline state. If this mode is enabled, documents will not print even if the printer is working properly.

Windows 11

1. Open Settings.
2. Go to Bluetooth & devices.
3. Open Printers & scanners.
4. Select HP DeskJet 2800 series.
5. Click Open print queue.
6. In the print queue window, open the Printer menu.
7. If there is a check mark next to Use Printer Offline, clear it.
8. Also make sure printing is not paused.

Windows 10

1. Open Settings.
2. Go to Devices.
3. Open Printers & scanners.
4. Select HP DeskJet 2800 series.
5. Click Open queue.
6. In the print queue window, open the Printer menu.
7. If Use Printer Offline is enabled, turn it off.
8. If Pause Printing is enabled, turn it off.

After that, try printing a test page.

Method 7. Clear the Print Queue

If one document is stuck in the queue, new documents may not print either.

Windows 11

1. Open Settings.
2. Go to Bluetooth & devices.
3. Open Printers & scanners.
4. Select HP DeskJet 2800 series.
5. Click Open print queue.
6. Delete all jobs from the queue.

Windows 10

1. Open Settings.
2. Go to Devices.
3. Open Printers & scanners.
4. Select HP DeskJet 2800 series.
5. Click Open queue.
6. Delete all jobs from the queue.

If the jobs cannot be deleted, restart the computer and try again.

Method 8. Restart the Windows Print Service

If the print queue is stuck, you can restart the Windows print service. This service is responsible for sending documents to the printer.

1. Press Win + R.
2. Enter the command services.msc.
3. Click OK.
4. In the list of services, find Print Spooler.
5. Right-click it.
6. Select Restart.
7. Close the Services window.
8. Try printing the document.

If there is no Restart option, select Stop, wait a few seconds, and then select Start.

Method 9. Set HP DeskJet 2800 as the Default Printer

If several copies of the same printer are installed in Windows, the document may be sent to the wrong device.

Windows 11

1. Open Settings.
2. Go to Bluetooth & devices.
3. Open Printers & scanners.
4. Turn off Let Windows manage my default printer, if it is enabled.
5. Select the working HP DeskJet 2800 series printer.
6. Click Set as default.

Windows 10

1. Open Settings.
2. Go to Devices.
3. Open Printers & scanners.
4. Turn off Let Windows manage my default printer.
5. Select the working HP DeskJet 2800 series printer.
6. Click Manage.
7. Click Set as default.

After that, try printing the document again.

Method 10. Remove Extra Printer Copies

After several installation attempts, Windows may show several devices with similar names:

• HP DeskJet 2800 series
• HP DeskJet 2800 series Copy 1
• HP DeskJet 2800 series Copy 2
• HP DeskJet 2800 series (Network)

Windows may send documents to an old or non-working printer copy. Therefore, it is better to remove extra copies.

Windows 11

1. Open Settings.
2. Go to Bluetooth & devices.
3. Open Printers & scanners.
4. Remove all non-working copies of HP DeskJet 2800 series.
5. Keep only the copy that prints.
6. If none of the copies print, remove all copies and install the printer again.

Windows 10

1. Open Settings.
2. Go to Devices.
3. Open Printers & scanners.
4. Remove all non-working copies of HP DeskJet 2800 series.
5. Keep only the copy that prints.
6. If none of the copies print, remove all copies and install the printer again.

After removing extra copies, restart the computer.

Method 11. If the Printer Was Connected to an Old Router

If you changed the router, internet provider, Wi-Fi network name, or password, the printer may continue looking for the old network. In this case, Windows will show it as “Offline”.

You need to reset Wi-Fi on the printer and connect it again.

1. Turn on the printer.
2. Press the Wireless and Cancel buttons at the same time.
3. Hold the buttons for about 5 seconds.
4. When the Power button briefly blinks, release the buttons.
5. Wait about 1 minute.
6. The Wi-Fi light should blink blue.
7. Start HP Easy Start, HP app, or HP Smart.
8. Add the printer again.
9. Select the 2.4 GHz Wi-Fi network.
10. Enter the new Wi-Fi password.

After connecting to the new network, remove the old printer copy in Windows and add the device again.

Method 12. Reinstall the Driver Through HP Easy Start

If the previous methods did not help, it is better to remove the old installation and reinstall the printer through the official HP Easy Start installer.

Download the official file for the HP DeskJet 2800 series:

Download HPEasyStart-15.8.1-DJ2800_57_2_1683_3_Webpack.exe

This file is convenient if HP app does not install, Microsoft Store is unavailable, the program requires an HP account, or there are connection problems with HP servers.

Procedure:

1. Remove old printer copies in Printers & scanners.
2. Restart the computer.
3. Run the HPEasyStart-15.8.1-DJ2800_57_2_1683_3_Webpack.exe file.
4. If Windows asks for permission to run it, click Yes.
5. On the data sharing question screen, click No.
6. If the Download HP Easy Start to activate available printer features screen appears, click Continue with current software.
7. On the Welcome to HP Easy Start screen, click Continue.
8. Select the required connection method: Wireless network or USB cable.
9. Follow the program instructions.

If Wi-Fi still does not work, temporarily select a USB cable connection. For ordinary printing and scanning from one computer, this is usually enough.

Method 13. Add the Printer by IP Address

This method is suitable if the printer is connected to Wi-Fi, the blue Wi-Fi light is solid, but Windows still shows the device as unavailable.

First, find the printer’s IP address:

1. Make sure the printer is turned on.
2. Press the Information button or the button with the i symbol on the printer control panel.
3. Wait until the information page prints.
4. Find the printer’s IP address.

Windows 11

1. Open Settings.
2. Go to Bluetooth & devices.
3. Open Printers & scanners.
4. Click Add device.
5. If the printer is not found, click Add manually.
6. Select Add a printer using a TCP/IP address or hostname.
7. Enter the printer’s IP address.
8. Complete the installation.

Windows 10

1. Open Settings.
2. Go to Devices.
3. Open Printers & scanners.
4. Click Add a printer or scanner.
5. If the printer does not appear, click The printer that I want isn’t listed.
6. Select Add a printer using a TCP/IP address or hostname.
7. Enter the printer’s IP address.
8. Complete the installation.

After adding the printer by IP address, print a test page.

Method 14. Check the USB Connection

If the printer is connected by USB, Wi-Fi does not matter. In this case, check the cable and port.

1. Disconnect the USB cable from the computer and printer.
2. Connect the square end of the USB cable to the back of the printer.
3. Connect the flat end of the USB cable directly to a USB port on the computer.
4. Do not connect the printer through a USB hub, adapter, or docking station.
5. Try another USB port on the computer.
6. If possible, try another USB cable.
7. Restart the computer.

After that, open Printers & scanners and check whether the printer appears.

Method 15. If HP app Shows “Offline” but Windows Prints

Sometimes Windows prints normally, but HP app or HP Smart shows the printer as “Offline”. In this situation, the problem may be with the HP app, not the driver.

What you can do:

1. Close HP app or HP Smart.
2. Turn off VPN.
3. Make sure the computer and printer are on the same network.
4. Restart the router, printer, and computer.
5. Open HP app or HP Smart again.
6. If the app continues to show an error but Windows prints, use printing through Windows.

For ordinary printing, you do not have to open HP app every time. If the driver is installed correctly, documents can be printed directly from Word, a browser, a PDF viewer, and other programs.

When It Is Better to Use USB Instead of Wi-Fi

If the printer often becomes “Offline” over Wi-Fi and you only need to print from one computer, you can connect the MFP by USB.

A USB connection is better if:

• the router works unreliably;
• you do not have access to the router settings;
• the Wi-Fi password often changes on the network;
• the computer is located next to the printer;
• you need reliable printing from one workstation;
• HP app cannot connect to HP servers.

Important: when connected only by USB, the printer may not use HP web services, such as ePrint, HP Instant Ink, and some cloud features. For ordinary printing and scanning from a computer, a USB connection is usually enough.

Short Step-by-Step Checklist

If HP DeskJet 2800 shows “Offline”, follow these steps in this order:

1. Turn on the printer and check that there are no errors on the display.
2. Restart the printer, computer, and router.
3. Check whether the blue Wi-Fi light is solid.
4. Make sure the computer and printer are on the same 2.4 GHz Wi-Fi network.
5. Turn off VPN.
6. Turn off Use Printer Offline mode.
7. Clear the print queue.
8. Restart the Print Spooler service.
9. Remove extra printer copies.
10. If the router or Wi-Fi password was changed, reset Wi-Fi on the printer and connect it again.
11. If the problem is not resolved, reinstall the driver through HPEasyStart-15.8.1-DJ2800_57_2_1683_3_Webpack.exe.
12. If Wi-Fi works unreliably, connect the printer by USB.

In most cases, the “Offline” error on HP DeskJet 2800 is fixed after restarting the devices, turning off offline mode, clearing the print queue, or reconnecting the printer to a 2.4 GHz Wi-Fi network.
