OneDrive folders, the Desktop and folders inside the user profile create additional restrictions. For the initial setup, it is better to use a simple path such as
C:\\Scans\\OKI
.

Step 1. Create a Separate Account for the MFP

Do not use guest access and do not disable password-protected sharing. A separate account allows you to give the MFP access only to the scan folder.

The examples use the name
oki_scan
. Choose a short name using Latin letters and no spaces. The password must be a regular account password, not a Windows Hello PIN. The password field in the profile of these MFPs accepts no more than 32 characters, so use a strong password up to 32 characters long.

Windows 11

Open Start > Settings > Accounts > Other users.

Next to the option for adding another user, click Add account.

Select I don’t have this person’s sign-in information.

Select Add a user without a Microsoft account.

Enter the name
oki_scan
, a password and answers to the security questions.

Leave the account type as Standard User. Configure the sleep time according to your workflow, or use a computer or network storage device for the shared folder that remains available on the local network.

All Settings Are Correct, but the MFP Still Cannot Connect

If port 445 is accessible, the
net use
command accepts the same credentials, a test file can be created, and the profile using the IP address still ends with a transmission or sign-in error, an SMB requirements incompatibility is likely.

In Windows 11 version 24H2 and later releases, SMB signing is required by default for incoming and outgoing SMB connections. An older network device that cannot negotiate the required SMB version, authentication method or packet signing may fail to connect even when the permissions are correct. The message on the display alone does not indicate exactly which negotiation stage failed.

Update the MFP Firmware First

Print the configuration information and write down the installed firmware version.

Open the support page for your exact model and compare the installed version with the available version.

For the MC562dnw, you can start with the OKI MC562dnw firmware page. For another model, select it on the support website first.

Use the current version of Firmware Update Tool. This program downloads and installs the appropriate firmware; the utility installer file itself is not the device firmware.

Do not turn off the MFP or computer and do not interrupt the network connection during the update.

After the update, restart the MFP and test the profile again using port 445.

Updating the firmware is a compatibility check, not a guaranteed fix for every SMB error. It will not correct an incorrect password or missing write permission.

Do Not Disable Required SMB Signing or Allow Guest Sign-In

Internet guides often suggest disabling SMB signing, enabling insecure guest logons, allowing older NTLM authentication or installing the SMB1 component. For an ordinary user, this is a poor permanent solution: it changes the protection of all network connections on the computer and may stop working again after a Windows update or when an organization policy is applied.

If the MFP with current firmware cannot connect to modern Windows without weakening its security, choose one of the following options:

use Scan to Computer through the scanner driver and ActKey;

save scans to a USB drive if permitted by your organization’s rules;

configure an FTP or HTTP profile on a server inside the local network, with access restricted to a separate account;

use supported network storage where access by the MFP can be securely restricted to a separate folder and the local network;

on a business network, leave any SMB policy changes to the system administrator: the solution should be applied specifically and with network segmentation in mind.

Do not expose an old FTP, HTTP or SMB service directly to the Internet. An alternative server should be accessible only from a trusted local network.

What to Check If One Sheet Scans Successfully but a Large Document Is Not Saved

Check the free disk space on the computer.

Reduce the scanning resolution and repeat the test.

For color pages, select PDF with standard quality instead of an uncompressed format.

Check the quality of the MFP’s and computer’s Wi-Fi connection. For diagnostics, temporarily connect the device using an Ethernet cable if the model and network allow it.

Make sure the computer does not enter sleep mode while processing a large job.

Check whether antivirus software creates the file and then blocks completion of the write operation.

Scan the same pages in several smaller jobs. If they are saved successfully, the credentials and permissions are configured correctly, and the problem is related to job size or transmission stability.

After successful setup, do not give the
oki_scan
account access to other folders and do not use it for normal work on the computer. This keeps the scanning function working while limiting possible MFP access to the prepared directory only.

If the OKI MC332, MC362 or MC562 does not save scans to a Windows network folder, reinstalling the scanner driver usually does not help.
