In such cases, messages such as “Cannot access the file or folder. Wait a moment and try again, or check the settings from Remote UI.” or error codes related to access to the shared folder often appear.

How the problem usually appears

the multifunction printer scans, but the file does not appear in the shared folder;

a message appears on the control panel saying the file or folder cannot be accessed;

scanning to a computer through MF Scan Utility works, but saving to a network folder does not;

the error appeared after a Windows update or after the password was changed on the computer.

Why this happens

To save to a shared folder, it is not enough to specify only the path. The multifunction printer must be able to access the computer, the folder itself, and the sign-in credentials. If the password, computer name, IP address, folder permissions, or Windows security settings changed, scanning to a shared folder can stop working even though printing and other network functions of the multifunction printer still work normally.

Where to start

Restart the multifunction printer.

Restart the computer that hosts the shared folder.

Then try sending the scan to the same folder again.

If the error remains, continue with the step-by-step checks below.

Step 1. Make sure you are using the correct scanning method

To save to a shared folder, you need to use the file sending mode to a network storage location.

On the multifunction printer control panel, press [Scan] on the [Home] screen.

Press [File].

On the [Specify Destination] tab, select the shared folder from the Address Book or choose the required destination.

Then set the required options on the [Send Settings] tab and start scanning.

If you try to send the scan using the wrong method, the file will not be saved to the shared folder.

Step 2. If the shared folder has never worked, check whether it was prepared at all

For this Canon product line, the information for the shared folder must be registered in the machine’s Address Book in advance. Canon explicitly states that file save locations such as shared folders cannot be fully registered from the control panel. This is done from a computer through Send Function Setting Tool or Remote UI.

If the folder has never worked before, start with the preparation:

Create a shared folder on the computer.

Open this address in a browser:

http://IP-address-of-the-machine/sendsupport_login.html

Open Send Function Setting Tool.

Select [Store to Shared Folder Settings].

Enter the shared folder information:

[Computer Name of Store Destination];

[Shared Folder Name on Store Destination Computer];

if necessary, the user name and password.

Save the settings and restart the machine if the tool requests it.

If the folder worked before and stopped working only now, continue with the next steps.

Step 3. Check the shared folder path

A very common cause is an incorrect folder path.

Check whether the name of the computer that hosts the shared folder changed.

Check whether the IP address of that computer changed.

If the destination is registered through Remote UI or Send Function Setting Tool, open it and verify the folder path again.

If you use a manually entered path, make sure the correct computer name or IP address and the correct folder path are being used.

Even if the folder itself is still the same, the old path may no longer work after the computer was renamed or its IP address changed.

Step 4. Check the user name and password used to access the folder

If the Windows account password changed or Windows became stricter about network access, the old sign-in data stored on the multifunction printer will no longer work.

Check which Windows account you use to sign in to the computer.

Make sure you know the current password for that account.

Open the shared-folder destination settings through Remote UI or Send Function Setting Tool.

Enter the current user name and password again.

Save the changes and test scanning again.

If the computer does not have a password and scanning to a shared folder stopped working after a Windows update, it can make sense to set a password for the account and register the access details on the multifunction printer again.

Step 5. Check the shared folder permissions in Windows

Even the correct path and the correct password will not help if the multifunction printer does not have permission to write files to the folder.

On the computer, right-click the shared folder.

Select [Properties].

Open the [Security] tab.

Check that for the [Everyone] group, [Modify] is set to [Allow].

If not, change the permission and save the settings.

If this permission is missing, the multifunction printer may be able to see the folder path but still not be able to write a file there.

Step 6. Check whether the folder has the [Read-only] attribute

Right-click the shared folder.

Select [Properties].

On the [General] tab, check the [Attributes] section.

Make sure the [Read-only] check box is not selected.

If it is selected, clear it and apply the changes.

This is a simple point, but Canon separately recommends checking it when there are problems saving to a shared folder.

Step 7. Check whether Windows or security software was updated

Canon explicitly warns that after a Windows update or after security software is installed or updated, access to a shared folder may stop working because security becomes stricter.

Think back to whether Windows was updated shortly before the problem appeared.

Check whether the antivirus, firewall, or other security software was updated.

If the problem started immediately after an update, check the folder sharing settings and sign-in data again.

If third-party antivirus software is used, temporarily test whether it is blocking writing to the network folder.

After the test, turn the protection back on. Do not leave the computer unprotected permanently.

Step 8. Make sure there is no IP address conflict between the computer and the multifunction printer

Canon also recommends checking whether the IP address of the machine or the computer changed, and whether there is an IP address conflict with another device on the network.

Check the IP address of the multifunction printer in its network settings.

Check the IP address of the computer that hosts the shared folder.

Make sure these addresses do not conflict with other devices on the network.

If the addresses changed, update the shared-folder destination settings in the machine’s Address Book.

Step 9. If a file-or-folder access message appears, check the destination through [Remote UI]

If the control panel shows a message such as “Cannot access the file or folder. Wait a moment and try again, or check the settings from Remote UI.”, check the destination entry itself.

Open a browser on the computer.

Enter this address:

http://IP-address-of-the-machine/

Open Remote UI.

Go to the Address Book.

Open the required shared-folder destination.

Check the path, user name, and password.

Save the changes and scan again.

Step 10. If an error says a file with the same name already exists, remove the old file

Sometimes the problem is not access, but the fact that a file with the same name already exists in the shared folder.

Open the shared folder on the computer.

Check whether a file with the same name the multifunction printer is trying to save already exists there.

If it does, delete it or rename the old file.

Then try scanning again.

This is especially relevant if you repeatedly send similar documents one after another.

How to quickly tell where the problem is

If scanning to a computer through MF Scan Utility works, but scanning to a shared folder does not, the problem is usually in the destination entry, the folder, the permissions, or the sign-in data.

If the shared folder used to work and then stopped, the most common changes are the password, the path, the IP address, or Windows security.

If the shared folder never worked at all, it was most likely not prepared and registered correctly in the machine’s Address Book.

When to contact support

you already checked the folder path;

you rechecked the user name and password;

you checked the permissions on the [Security] tab;

you cleared the [Read-only] attribute;

you checked the destination settings through Remote UI;

scanning to the shared folder still does not work after that.

If the multifunction printer is new, that still does not necessarily mean a hardware fault. In most cases, the issue is in the shared-folder setup rather than in the scanner itself.

Brief conclusion

For the Canon MF461dw, MF463dw, and MF465dw, problems with scanning to a shared folder are most often caused by an incorrect folder path, outdated sign-in data, insufficient write permissions, the [Read-only] attribute, or changes after a Windows update. First, check the send method through [Scan] → [File], then check the shared-folder destination, the user name and password, the folder permissions, and the settings through Remote UI or Send Function Setting Tool.

FacebookTwitterLinkedInPinterest

Applies to models: Canon MF461dw, MF463dw, MF465dw.
